To describe the process, you first need to highlight it - to define the conditions for starting and ending. Setting boundaries is critical to managing it. Further in the process, a chain of actions is determined: what needs to be done step by step. Business processes are always described graphically. For yourself, you can do it in any convenient way. But if this document will be read by other people (managers, employees, developers), choose graphics. In a graphical form, information is easier to perceive, as the entire cycle is visible at once with detail. Reading “canvases of texts” will be simply inconvenient.
Business processes are described according to the following algorithm:
1. Assemble a working group of employees of the participants in the process.
2. Collect the initial information needed to start the process.
3. Consolidate all systems used in a single list: CRM, e-mail, tables, documents, services and software. It is important to record everything that is used in the work.
4. Describe the expected outcome of the process.
5. The sequence of the process actions is prescribed.
6. Highlight conditions. The following actions may vary depending on the original data and intermediate data.
7. Describe all information in graphical form using special programs (Drow.io, IDEF3, BPMN 2.0, etc.). It is important to follow the generally accepted notation.
Completeness. A business process always has an end action. The business process describes what needs to be done and what the result will be. Laconicism. The business process should be detailed enough to describe all the necessary steps and tools, but be concise for ease of understanding. Conform to generally accepted standards. The world has already created rules and requirements for describing business processes. They take into account all factors and make the schedule as practical as possible.
